How is scheduling managed for the vaccine clinic?

Once a team has expressed interest, and we determine that a clinic is feasible, we will send a scheduling link to their on-site coordinator, and their team members can schedule their vaccination time whenever is convenient to them using the tool provided by VaccinateRx. The timeline will have already been agreed upon between what works best for your organization and our VaccinateRx team.

How should I schedule staff during the vaccine clinic?

Determine the time that is best for staff member, perhaps it is between shift changes, at the beginning of the workday, or toward the end of the day. Once the date of the vaccine clinic has been decided between the team and VaccinateRx, we will send you a sign up to distribute to all interested employees. This online sign up will include a registration form and appointment time choices.

What is the vaccine clinic process and is it complicated?

The Vaccine Clinic Process Is Simple

  1. Fill Out A Request Form

  2. Select a date, time, and vaccine for the clinic

  3. The VaccinateRx team will make sure the vaccines & team are available

We may also ask for insurance information to test for coverage

  4. Once the date for the clinic is confirmed, our VaccinateRx team will provide a sign-up that you can distribute to your employees/members to register & select their appointment time

How much do on-site vaccine clinics cost?

In most situations, there will be no cost to sponsor the on-site vaccine clinic. If the clinic is small in size, or has poor insurance reimbursement for vaccinations, there may be a cost to your company to sponsor the clinic.

How long should a vaccine clinic be?

The length of time is based on how many individuals are being vaccinated. When VaccinateRx receives the number of vaccinations requested we can help determine how much time should be allotted to the clinic.

Once a vaccine clinic is scheduled, how do my team members make an appointment?

In advance of the vaccine clinic, an online HIPAA compliant sign-up registration tool will be sent to distribute amongst team members interested in being vaccinated. The sign-up tool allows team members to schedule their own vaccination appointment and complete a vaccination questionnaire independently. An area is included for a driver’s license and insurance card uploading so when arriving for the vaccination appointment only a photo ID is required.

What happens on the actual day of the vaccine clinic?

On the day of the vaccine clinic, our staff will arrive at the agreed on-site location, set everything up to operate the vaccine clinic efficiently, administer the vaccines scheduled, and conclude by cleaning up.

Following the clinic our team bills the insurance company and submit the immunization status to the state’s immunization board.

Will VaccinateRx provide a coordinator to help me make my clinic a success?

A VaccinateRx coordinator will be assigned for every vaccine clinic and client. Consider the coordinator as a support, who will be in communication with you and members of your team, prior, during, and after the vaccine clinic to ensure everything runs smoothly.
